How do I verify my freelancer's time through Qwick?

Verify a freelancer's time from either the Qwick for Business app or dashboard.

Whether you’re in the office or on the go, you can verify a freelancer’s time from either the Qwick for Business app or dashboard immediately after a freelancer clocks out and until 24 hours after the shift. If a freelancer forgets to clock in/out, you have 48 hours after the shift start time to add their missing times before we automatically verify and generate the invoice. Verifying a freelancer’s clock in/out time within a timely manner will ensure that you’re accurately invoiced for the freelancer’s time worked.

The red circle next to the Verify Times section indicates there are times that need to be verified. (The number inside the circle references the number of instances of times that need to be verified.)


How to Verify from the Dashboard

After a freelancer clocks out of their shift, you can verify their clock in/out times via the “Verify Times” section of the “To Do” tab on the dashboard. (If you’re a business that posts multiple shifts with many freelancers, keep reading how to streamline your verification process with bulk time verification!)

  1. Navigate to the “To Do” tab on the dashboard. The red dot next to “Verify Times” indicates that there are times that need to be verified. The number inside the circle references the number of freelancers with clock in/out times that need to be verified.

  2. Click “Verify Times” to open that section of the “To Do” tab. This is where you can see all your times that need to be verified. From here, you can select/filter the location and date of the shift you want to verify times for.

  3. Adjust the clock-in and clock-out times (if necessary). If a freelancer’s time isn’t accurate, click the clock-in or clock-out time boxes in the row to the right of their name and adjust it to the correct time.

  4. Add “Sent home early” reason (if necessary). If a freelancer’s shift ended early, click the red error message below their name to provide a reason why their shift ended early. After selecting a reason, a green tag under the freelancer’s name will appear with the reason you indicated. While erroneous reasons can be removed by clicking the “x” at the top right of the green tag, you cannot validate selected times without providing a “sent home reason.”

  5. Verify selected times. After confirming the freelancer’s clock in/out times are accurate, click the checkmark box to the left of the freelancer’s picture, and then click the green “verify selected times” to verify their time. You can also verify multiple freelancers and times at once by clicking the box at the top of that column to “select all,” then click the “Verify selected times” button at the bottom. (Note: Times and sent home reasons cannot be adjusted after clicking “Verify selected times.”)

  6. View times that have already been verified. Once a freelancer’s time is verified, it will show in the “Verified Times” section below the list of freelancer’s with unverified times. (Additionally, this is where you’ll see freelancers who have clocked in/out onsite, or used a manager’s code to clock in/out).


How to verify from the app

After a freelancer clocks out of their shift, you can verify their clock in/out times via the “Past Shifts” tab in the app. (If you’re a business that posts multiple shifts with many freelancers, please consider streamlining your verification process with the bulk time verification functionality available in the dashboard!)

If you have the Clock In Code functionality turned on, all clock ins/outs are automatically verified. (Please text Qwick Support at 79425 if you need to edit these times). However, you must review and verify any “unverified” clock-ins (i.e., when a freelancer clocks in or out without using the code).

  1. Navigate to the “Past Shifts” tab in the app. Tap on the shift card that has freelancers you need to verify, and select the freelancer’s name to expand their shift details.

  2. Adjust the clock-in and clock-out times (if necessary). If a freelancer’s time isn’t accurate, tap the edit button next to the clock in/out time boxes and adjust it to the correct time. Tap “Verify Timesheet”.

  3. Add “Sent home early” reason (if necessary). If a freelancer’s shift ended early, tap “Sent Home Early” below their clock in/out time to select whether you sent the freelancer home early because you: didn't need them, there were disciplinary issues, they weren't in attire, or for another reason not listed. (Note: Adding a “sent home early” reason will prompt you to add a clock out time.) Tap “Save.”
